DESCRIPTION OF ASSIGNMENT

An Exhibit System Service Provider to design, supply, install, and manage the exhibit infrastructure and related services for the 2025 Regional Science, Technology, and Innovation Week on April 23 – 25, 2025.

The exhibit system provides a platform for DOST 7, organizations, institutions, and individuals to display their projects, products, and services

KEY ASSIGNMENT OF THIS ASSIGNMENT

The STE or Consulting Firm’s scope of work will include, but is not limited to:

  1. Exhibit system design and planning
  2. Handle tarpaulin printing and installation
  3. Exhibit system supply and installation
  4. On-site services and support
  5. Dismantling and removal

The expert will be engaged in 5 man-days, from April 22 to 26, 2025.

PROPOSED EXPERT/S

The Exhibit System Service Provider should possess the following:

  • Proven experience in providing exhibit system services for similar events (e.g., trade shows, exhibitions, conferences).
  • Demonstrable capacity to handle an exhibition of the anticipated scale
  • Access to a wide range of high-quality and well-maintained exhibit system components.
  • A team of experienced and qualified personnel, including project managers, designers, technicians, and installation crew.
  • Strong understanding of exhibition design principles, safety regulations, and industry best practices.
  • Ability to provide creative and innovative booth design solutions.
  • Excellent project management and coordination skills.
  • Compliance with all relevant local laws and regulations

EXPERT’S TASKS

The Exhibit System Service Provider’s scope of work will include but is not limited to:

  • Exhibit System Design and Planning:
    1. Conceptualization and Layout: Collaborate with DOST 7 (through AFOS Foundation) to develop a comprehensive exhibit layout plan based on the anticipated number and size requirements of exhibitors, considering traffic flow, visibility, and accessibility. The plan should include different booth sizes and configurations to accommodate various needs.
    2. Booth Design Options: Provide a range of modular and customizable booth design options.
    3. Floor Plan Development: Create detailed floor plans indicating booth locations, aisle ways, common areas, and emergency exits.
    4. Offering design guidelines for tarpaulin sizes and placement on booth panels.
    5. Technical Specifications: Provide detailed technical specifications for all exhibit system components, including materials, dimensions, electrical load capacity, and safety features.
    6. 3D Visualizations: Present 3D visualizations of the proposed exhibit layout and booth designs to the organizing committee for approval.
  • Exhibit System Supply and Installation
    1. Provision of Booth Structures: Supply all necessary booth structures, including wall panels, support systems, and flooring. Ensure that the materials are of high quality, durable, and aesthetically pleasing.
    2. Fascia Boards and Signage: Provide standard fascia boards with exhibitor names and booth numbers. Offer options for customized signage and branding elements.
    3. Printing of Exhibitors’ Tarpaulins
    4. Lighting: Install adequate and appropriate lighting for each booth and common areas. Offer options for additional or specialized lighting as required by exhibitors.
    5. Power Supply: Provide sufficient and safe electrical power supply to each booth, including standard power outlets. Ensure compliance with local electrical safety regulations. Offer options for higher power requirements.
    6. Aisle Carpeting: Supply and install carpeting for all aisle ways to enhance the overall look and comfort of the exhibition area.
    7. Furniture: Offer a range of furniture to be used by exhibitors, such as tables, chairs, counters, and display units.
    8. Installation and Setup: Manage the complete installation and setup of the exhibit system according to the approved floor plan and timelines. Ensure that all booths are correctly assembled and ready for exhibitor move-in.
    9. Quality Control: Conduct thorough quality checks during and after installation to ensure that all components are in good condition and meet the required specifications.
  • On-Site Services and Support
    1. Assign a point person to coordinate tarpaulin submissions and installation schedules.
    2. Exhibitor Assistance: Provide a dedicated on-site team to assist exhibitors with any queries, issues, or additional requirements related to their booths.
    3. Technical Support: Offer technical support for lighting, power, and any other issues related to the exhibit system.
    4. Security Coordination: Coordinate with the overall event security team to ensure the safety and security of the exhibition area and the exhibits.
    5. Waste Management: Implement a system for waste disposal within the exhibition area.
  • Dismantling and Removal
    1. Dismantling: Manage the efficient and timely dismantling of all exhibit system components after the conclusion of the event.
    2. Removal: Ensure the complete removal of all exhibit structures, materials, and waste from the venue, leaving it in its original condition.
  • General Terms and Conditions
    1. The supplier will be responsible for obtaining all necessary permits and licenses to ensure timely installation and dismantling of exhibit systems.
    2. The supplier deploys their qualified electricians/engineers to guarantee compliance standards.
    3. The supplier will comply with all applicable safety regulations.
    4. The supplier will be responsible for any damage to property caused by their equipment or personnel

KEY DELIVERABLES/S

The Exhibit System Service Provider shall provide the following deliverables:

  • Detailed Exhibit Layout Plan: Including booth dimensions, configurations, and aisle ways.
  • Booth Design Options Catalogue: With specifications and pricing for various booth types and upgrades.
  • Floor Plan: Clearly indicating booth numbers and locations.
  • Technical Specifications Document: For all exhibit system components.
  • 3D Visualizations: Of the proposed exhibit layout and sample booth designs.
  • Installation Schedule: With key milestones and timelines.
  • On-site Service Plan: Detailing the team structure and service procedures.
  • Dismantling and Removal Plan: Outlining the process and timeline.
  • Compliance to necessary permits and approvals.

REPORTS

The STE shall submit the following report:

  1. Detailed Exhibit Layout Plan
  2. Floor Plan
  3. 3D Visualizations
  4. Installation and Dismantling Schedule/Plan
  5. Short Term Expert (STE) Time Sheet

PROPOSAL SUBMISSION

Interested Short-Term-Expert or Consulting Firms are requested to submit the following before 11:59 PM on April 08, 2025.

  1. Company portfolio showcasing previous engagements in exhibit systems.
  2. Proposal outlining the proposed exhibit layout plan.
